TroopTrack Basics
Troop 457 uses an online tool called TroopTrack to manage our calendar of events, track our Scout's advancement progress, and facilitate communication. In this topic, we'll introduce you to the basic functionality you'll use in the application.

Advancement is an important part of the Scouting program which recognizes Scouts for demonstrating their knowledge and skills in topics that will enable them to be prepared for life. In this topic, we'll explore the different types of advancement, how their earned, and how our Scouts are recognized.

About Lesson

Every TroopTrack user has a profile that captures basic information about the user and allows you to view achievements, participation, settings, leadership, money account balances, and more.

Accessing your Profile

There are multiple ways to access a profile in TroopTrack:

  • Clicking on your name at the top of the screen and selecting Your Profile from the dropdown menu.
  • Clicking on the Profile link in the Profile Info (adults) or Youth Summary card on your dashboard.
  • Searching for your name in the Power Search field at the top of the page.

Depending on your access rights, you can also view the profile for other members of your Household via the Power Search function or the Household Info card on your dashboard.  Users with additional access rights may be able to view all or parts of other user’s profiles.

Profile Components

A TroopTrack profile contains the following tabs:

  • Profile: Captures basic information about you, your contact information, your Scouting History (adults only), and your household.  We will discuss this tab later in this lesson.
  • Achievements: Allows you to view and maintain your achievement history including progress on ranks, merit badges, and other BSA and Troop awards.  We will discuss how to maintain your own achievement record in the Advancement, Awards & Recognition module.
  • Participation: Allows you to view and edit the user’s attendance information and additional details about the participation (i.e. Service Hours earned, miles hiked, and tent or cabin camping nights).   We will discuss how to maintain your own participation record in the Advancement, Awards & Recognition module.
  • Settings: Allows you to customize the notifications you receive from TroopTrack.  We will discuss this tab later in this lesson.
  • Leadership: Lists the history of the user’s leadership positions within the Troop.
  • Money: Shows the current balance of the user’s money account with the Troop.  While this tab is visible for all users, it is only relevant on Scout profiles.  (See Paying for Scouting module.)
  • Training: Lists the training courses completed by the user and expected expiration dates.  This section also tracks your current Swim Test results as well as the expiration dates for PA background checks for registered adults.
  • MBC (Merit Badge Counselors only): Lists the merit badges you are a counselor for.  (See the Getting Involved as an Adult module.)
  • OA: Tracks whether the individual is a member of the Order of the Arrow (OA) and information about the election.
  • Vehicles (Adults only): Lists any vehicles associated with the adult.  (TroopTrack has the ability to track vehicles, insurance information, and max passengers for planning purposes.  We do not currently use this function.)
  • Privileges: Displays your current privileges within TroopTrack.
  • Files: This tab displays any Application for Merit Badge (“Blue”) cards generated by TroopTrack.  Most users will not see files listed on this tab.

Most of these tabs will not contain information when you and your family first join the Troop.  However, we encourage you to update the following tabs with information about you and your household within a few weeks of joining the Troop.

Profile Tab

A lot of the profile tab has been pre-populated based on the information we have available about you.  Let’s take a look at what information we maintain using the cards on this tab:

  • Profile Picture (optional): Allows you to upload a photo of the user to TroopTrack.  This is optional, but can be helpful to our leaders and new members to easily identify you.
  • Basic Info: Much of the information in this caed is populated by the Troop when the user is first created.  Click the Edit button if you need to update the user’s name, birthday, or add a nickname.
  • Driver Info: Allows Scouts and Adults of diving age to add their drivers license number to their profile (required for adults who transport Scouts not in their household to Troop events).
  • Scouting History (adults only): Allows adults to indicate that the are Eagle Scouts.
  • Contact Info: Allows you to update your email address and phone numbers so the Troop can contact you.

It is strongly encouraged that parents and guardians add a cell phone and cell carrier to their profile.  The Troop uses TroopTrack’s Send a Text Message feature.  We will only use this feature to send time sensitive information (like meeting location changes or camp departure information) to our members.

  • Households: Shows the other members of the user’s household.  Click the pencil icon next to the Household name to add your mailing address.
  • Registration Info (optional): The majority of this tab is maintained by the Troop, but the card can be edited to capture adult user’s employer and occupation information and Scout’s school and grade information.

Settings Tab

The Settings tab contains two cards:

  • Notification Settings: Allow you to customize the notifications your receive from the Troop.
  • Account Info: Click on the Edit button to change your user name and configure whether you receive product notices about TroopTrack or the automated TroopTrack newsletter.

To minimize the amount of emails you receive from TroopTrack, we recommend that you disable the following notification and account settings:

  • All notifications except:
    • Announcement Notifications
    • Event Notifications
    • Low Balance Notifications
    • Equipment checkin checkout notifications (if you are the Troop Quartermaster)
    • Library checkin checkout notifications (if you are the Troop Librarian)
    • Troop photo notifications (if you are the Troop Historian or would like to be notified of photo uploads)
  • Send me product notices about TroopTrack (Account Info card).
  • Subscribe to my organizations’s newsletter (Account Info card).

The newsletter is an automated email sent out by TroopTrack monthly summarizing upcoming events and recent changes.  The Troop sends a different, move visual email to share this information.
